Dan Patch Park Operations Guide

Welcome to the 2026 Minnesota State Fair! We’re excited that you are taking the next step in preparing to present a day in Dan Patch Park. This guide contains need-to-know information about planning, coordinating, setting up and tearing down your event. Please read this entire document.

Jillian is your on-site operations manager in the park on your day at the fair. She is your main point of contact for most day-of Dan Patch Park details and will distribute information to fair staff as needed, including:

 On-site at Dan Patch Park during your day:

    • In addition to Jillian, there will be a Dan Patch Park stage manager who is an IATSE union stage manager hired by the fair to coordinate with you to make sure your stage programming runs on time and performers have the equipment needed. (IATSE = International Alliance of Theatrical Stage Employees)
    • A front-of-house engineer is also provided by the fair to coordinate all sound on stage.

April 30

  • Proposals for NEW DAYS in Dan Patch Park are due. Send email to Nate Dungan.

May 29

  • Proposals for RETURNING DAYS in Dan Patch Park are due. Expect a reply within five business days. Send email to Nate Dungan.

June and July

  • Schedule a PRE-EVENT CONSULTATION with Dan Patch Park manager Jillian Bell to talk through transportation, stage tech, schedule, electrical plans and other details within your Google Planning Sheet.
  • Assign people to your KEY ROLES as detailed in the “Staff & Volunteer Roles” section. Assemble your support team by assigning these key roles for your day. Please confirm their contact information within the “MNSF Day of Event Leads” section within your Google Planning Sheet.

June 10

  • DAY DESCRIPTION, YOUR OFFICIAL NAME and EVENT LOGO(S) are due.
    Items must be approved and will be reviewed by the State Fair by June 19.
    Insert this information in the “MNSF Day Description” section in the Google Planning Sheet, and upload any logos to the “Logos and Graphics” shared folder.
  • DRAFT STAGE SCHEDULES, including your Run of Show, are due.
    Include: group names, times, descriptive phrases and contact information for each performance, demonstration and speaker. Enter this information in the “Run of Show” tab in your Google Planning Sheet.
  • OTHER ACTIVITIES AND EXHIBITORS (such as those in and outside the tents in Dan Patch Park) are due. Details needed include: group names, highlights, schedule if applicable and contact information. Enter this information in the Google Planning Sheet under the “Secondary Partners & Exhibitors” section. Special exhibits, demonstrations and activities that will take place in the park and outside of a tent area must be submitted by this deadline to ensure that the fair has time to review and approve park layout, space and logistics.
  • PROSPECTIVE LIST OF SECONDARY PARTNERS for your day in Dan Patch Park is due. Insert this list to the “Secondary Partners & Exhibitors” section of the Google Planning Sheet. Secondary partners are nonprofit organizations, civic groups and businesses whose partnership supports the theme of the day, subject to the requirements noted in the “Secondary Partners & Exhibitors” section.
  • Requests for additional service and hook-ups for WI-FI, CELL DATA AND DSL for your day in the park must be submitted in advance. Requests will be confirmed by Aug. 8. The fee for hard-wire DSL is approximately $400, please contact MSF IT at support@mnstatefair.org or 651-288-4366 to inquire; also note these requests under your day’s description within the Google Planning Sheet.

Note: Entertainment schedule and activity information not submitted by June 10 will not appear in the printed daily schedules distributed at the fair. Information received late may only appear on the fair’s website and app, and inclusion depends on when it is submitted. Any updates to the above information after June 10 should be made in the appropriate Google Drive sheet.

July 17

  • FINAL LIST OF SECONDARY PARTNERS is due. This is an update to the lists you submitted on June 10. Review and confirm your list of Secondary Partners and their on-site activities in your Google Planning Sheet. Your final list will be submitted to the Minnesota State Fair for review and approval.
  • INSURANCE COVERAGE INFORMATION AND PAYMENT are due. All presenters, secondary partners and exhibitors participating in Dan Patch Park are each required to purchase insurance from the State Fair’s group insurance policy ($85 fee per organization) by this date. See the “Insurance Requirements” section of this guide for information. If the “Secondary Partners & Exhibitors” section in your Google Planning Sheet is filled out in detail, payment is all that is required. Please reach out to Nate Dungan to coordinate payment.

July 24

  • PRIZE DRAWINGS, CONTESTS & GIVEAWAYS INFORMATION is due. Details for all prize drawings, contests & giveaways, including promotional bags, must be approved in advance. Please see the “Prize Drawings, Giveaways, Contests & Swag Bags” section for requirements. Additional prize drawings, contests & giveaways may not be considered after this date. Please note that prize drawings and contests require an additional form for approval; the Prize Drawings & Contests form is located in the “Appendix” folder of the Google Drive. Giveaways should be entered on the Google sheet as part of the secondary partners & exhibitors and activities information.
  • BANNERS & SIGN DESIGNS are due. These designs, including secondary partner logos, must be submitted for review and approval. Banners & signs may not be considered after this date. See the “Banners & Signs” section for more information. Printing banners & signs is the responsibility of the presenter. Upload these designs to the “Logos and Graphics” shared folder.
  • Schedule a FINAL PLANNING CONFERENCE at the fairgrounds with your team and fair staff to review your entire day’s operation; we will walk the site and discuss the Caravan route as shown on the DPP Driving Map. This is a great way to familiarize everyone with the day’s logistics from early-morning load-in to load-out. This is an opportunity to ask questions and for you to hand out information in advance.

At this meeting, you can:

  • Distribute admission tickets and parking credentials to your staff in advance. Another option is to have tickets and credentials ready to distribute at the Caravan rendezvous.
  • Distribute Caravan rendezvous information to drivers and volunteers.
  • Make copies of the Caravan route Map to hand out at rendezvous point. (See your shared Google folder.)
  • Make copies of your Layout Map to give to the Traffic Director and other key event coordinators.

July 31

  • ADMISSION TICKET TOTALS are due. Submit how many admission tickets you need for your staff and volunteers, stage performers, secondary partners & exhibitors within the “Getting Here (LOAD IN)” section of your Google Planning Sheet.
  • PARKING PASSES AND TRANSITWAY (HANGTAGS) TOTALS are due. Submit how many Public Parking Lot (PPL) and Transitway hangtags are needed for your group within the “Getting Here (LOAD IN)” section of your Google Planning Sheet. See the “Parking & Getting to the Fair” section of this guide for more information.
  • FINAL REVIEW OF YOUR GOOGLE PLANNING SHEET is due. This is the deadline for all Stage Schedule, Layout and Exhibitor updates. Any further updates after this deadline MUST be emailed to dppmanager@mnstatefair.org.

Aug. 7

  • Your FINAL GOOGLE PLANNING SHEET is shared with the Dan Patch Park production team. Your latest schedule and day description information will be updated on the fair’s website and app.
  • PARK LAYOUT is due. Include any vehicles and activity area items on the main park layout template. Also complete the tent layouts provided within your shared folder to confirm secondary partner placement. Jillian will discuss this within your planning meetings to assist with accurate placement of items.
  • ELECTRICAL LAYOUT is due. Electricity is supplied at each tent. Each group requiring electricity should bring their own power strip and extension cord. Review your needs when reviewing your Layout Map.
  • STAGE TECH NEEDS are due. This includes microphone needs, prerecorded music, audio-visual-related requests, etc. If possible, save your performance music ahead of time within your shared Google folder.
  • STAGE PLOTS and INPUT LISTS are due. The Dan Patch Park stage crew will assist you during the event in setting your stage. Complete stage plots for each performance found in your shared Google folder. Include placement of any tables, chairs, stools, microphones, etc. ahead of time.
  • TRANSPORTATION REQUESTS are due. Transportation may be available to assist with equipment removal after stage performances via fair-provided mini vans to the West Blue Lot. Only one person can accompany equipment transportation. Although not guaranteed, all efforts will be made to accommodate. Find the “Transportation Request” section after each performance block in the “Run of Show” tab within your Google Planning Sheet.
  • FINAL DEADLINE FOR ADDITIONAL SERVICES. Any requests for services – such as IT, electrical, compost, ASL and others – that were not submitted by June 10 must be submitted by this date to Jillian.
  • COMPOST BINS are also available if requested. Recycling and trash barrels are provided throughout Dan Patch Park. If composting bins are needed, indicate this need under your day description on the Google Planning Sheet. See “Trash, Recycling and Composting” section for information about trash, cardboard recycling and more.

Aug. 15

  • PRE-FAIR PICK-UP AND DROP-OFF. Tickets and parking passes can be picked up at the State Fair entertainment office before the fair. Coordinate timing with Nate Dugan. Once the fair is up and running, traffic on and around the fairgrounds is congested, and getting to and from the entertainment office becomes increasingly difficult; hence the need to schedule pick-ups in advance.

Aug. 21 – The LAST DEADLINE

Before the fair starts:

  • Final check of your GOOGLE PLANNING SHEET. This will be the Dan Patch Park team’s primary source of information for your event.
  • Double check your RUN OF SHOW. Print out three (3) copies of ANY last-minute changes and bring on-site. Hand these to Jillian when you arrive.
  • Gather any miscellaneous OFFICE SUPPLIES you need. Think of your day as one step up from camping. Supplies are limited in Dan Patch Park, so be prepared. Suggested important items:
    • Scissors
    • Tape/adhesives
    • Zip ties
    • Sharpies/markers
    • Tarps for cover or to set items on if the ground is wet
    • Ziploc bags
    • Stapler
    • Extra power strip(s)

 Sept. 12

  • If you had prize drawings or register-to-win contests as part of your day, please send winners’ names and addresses via email to Nate. The fair requires this information as part of its records and to respond to fair guests asking if they won.

Planning Your Day

You, the organizer, provide overall leadership and coordination, including: Understanding fair policies and procedures and communicating applicable information to day participants; lining up entertainment, activities and exhibitors; collecting and submitting details for daily schedule, insurance, stage plots and more; distributing parking credentials and tickets; overseeing logistics of Caravan, load-in, set-up, parking, keeping stage schedule on time, tear-down, load-out and more.

The Dan Patch Park team will be on-site to set up your day for success. Look to them for assistance and guidance in any unforeseen, emergency situation.

Theme of the Day

The “theme of the day” is your reason for being at the fair. All entertainment, exhibits and activities reinforce the message of your theme.

  • Your programming enhances the fair guest experience through your planned activities, booth exhibits and live entertainment.
  • Your stage programming includes an emcee to welcome fair guests into the park and serve as a connector and introducer of the various performing acts. You may start with recorded music or a DJ and progress to live entertainment as the day goes on.
  • Your booth exhibits and planned activities engage and interact with fair guests.
  • Your secondary partners & exhibitors will be approved by the concessions & exhibits and sponsorships departments to the extent that they support your theme.
  • Giveaway items tie in with and promote the theme of the day.
    • Distributing free food of any kind (including pre-packaged candy) on the fairgrounds is not allowed due to the many licensed vendors who pay for the privilege of selling here.
    • Free stickers are not allowed, since they present a clean-up problem for our grounds crew after the fair.
  • Retail sales and donation solicitations of any kind are not permitted in the park. The exceptions are artist merchandise and author book sales, which are permitted at a $20 fee and the submission of an ST19 (see Appendix).

Hours

Presenters are expected to fill a minimum of eight (8) hours in the park, unless a shorter or longer timespan is mutually agreed upon and approved by the proposal deadline of May 29. The eight-hour duration may take place anytime between 8 a.m. and 6 p.m. Ideally, exhibits should open no later than 9 a.m., with stage programming starting at 9:15 a.m. and the last act finishing at 5 p.m.

Staff and Volunteers

The following roles are recommended to support day-of operations:

  • Traffic Director
  • Parking Flaggers
  • Caravan Leads
  • Green Room Tent Host
  • Presenter Tent Host
  • Talent Wrangler
  • Stage Emcee
  • Waste, Recycling & Compost Lead

See section on “Staff & Volunteer Roles for Day-of Operations” for descriptions of suggested volunteer roles.

The Fair Provides

  • Entertainment staff to review proposals, make planning suggestions and ensure entertainment, activities and exhibitors support the theme. They work with fair concessions & exhibits and sponsorship departments for approval of secondary partners & exhibitors, prize drawings, contests and giveaways. In addition, the entertainment staff will follow up with additional requests, confirm your tickets and passes for your day.
  • Dan Patch Park manager to assist and support you with logistics for the day. Their role is to guide and support and to also make sure the park is then reset and ready for the next day’s presenter.
  • Allied Productions technician to operate our sound system and on-stage sound equipment.
  • IATSE union stage manager to make sure performers have what they need on stage and to help stage programming run smoothly.
  • Additional stagehand(s) may be on-site to assist with stage moves.

Google Drive

The State Fair uses Google Drive to share planning documents. The Appendix folder within your shared drive contains documents, maps and forms that are referenced in this guide and that will help you plan and prepare for your day. If your organization does not support using Google for company communications, discuss a plan with Nate and Jillian to ensure good communication.

Budgeting Your Day

Consider the following as budgetary line items:


Staff & Volunteer Roles for Day-of Operations

To make sure your event runs smoothly, we recommend that you assign these particular roles to your staff or volunteers. For larger-scale operations, you may consider having two shifts of volunteers for the morning load-in and evening load-out.

Please provide the names and cell phone numbers of these positions to Jillian before you arrive at the fair on your day.

Traffic Director(s)

Do you have 15 or more vehicles arriving for load-in? If the answer is yes, consider designating a Traffic Director. This person connects with Jillian Bell before the fair to work out the plan for directing the vehicles as they arrive for early morning load-in. On the day of the event, the Traffic Director(s):

  • Arrive on-site to meet up with Jillian Bell at least 30 minutes before the vehicles in your Caravan are set to arrive.
  • Oversee a group of Parking Flaggers and assist with the group arrival process.
  • Remind the exhibitors to “Drop and Park.” Have exhibitors drop their supplies at their assigned location, then move their vehicle to the West Blue Lot. They can then return on foot to finish setting up. The Traffic Director(s) should have a map of your event layout.
  • Remind exhibitors where to park and how to get there. All vehicles must be parked in the West Blue Lot by 8 a.m. No vehicles are permitted on the fairgrounds between 8 a.m. and 11 p.m.

For larger groups, it is a good idea to provide orange traffic flags or lighted safety batons (light sabers) for the Traffic Director and/or Parking Flaggers to use.

Parking Flaggers

On the day of the event, Parking Flaggers should:

  • Arrive at Dan Patch Park at least 30 minutes before the vehicles or your caravan are set to arrive.
  • Spread out around the park and direct lead vehicles to pull all the way forward to the KSTP 1500 AM radio building.
  • Flag following vehicles to pull as far forward as possible so as many vehicles can fit around the park as possible.
  • Remind the exhibitors to “Drop and Park.” Have exhibitors drop their supplies and equipment at their assigned location, then immediately park their vehicle in West Blue Lot. They can then return on foot to finish setting up.
  • Direct departing vehicles how to exit to get to the West Blue Lot.
  • All vehicles must be parked in the West Blue Lot by 8 a.m. No vehicles are permitted on the fairgrounds between 8 a.m. and 11 p.m.

Caravan Leaders

On the day of the event, Caravan Leaders should:

  • Follow the instructions for leading waves of vehicles from the caravan rendezvous location to Dan Patch Park via the Transitway. See “On-site Operations for Your Day” section for more information.
  • When arriving at the park, pull as far forward as possible to allow space for as many following vehicles as possible to fit around the park for unloading.
  • Drop their supplies and then lead the group of cars to the West Blue Lot to park.

Green Room Tent Host

The Green Room Tent Host is responsible for managing the Green Room Tent, located behind the stage. Complimentary tables and chairs are stored in this tent overnight each night. This person should act as your “backstage host” and do the following:

  • Set up the Green Room Tent for your group according to your event needs. The sidewalls can be removed during your event, but please put them back up at the end of the day.
  • Keep the Green Room Tent tidy throughout the day.
  • Work with Talent Wrangler to attend to the needs of performers.
  • Keep an eye on performers’ personal belongings, if they ask and you agree to do so.
  • Work with the Presenter Tent Host to arrange tables and chairs, if needed.
    Re-stack these tables and chairs at the end of the event.
  • Clean up the Green Room Tent before departure, disposing of any trash or recycling in the proper receptacles.

Presenter Tent Host

The Presenter Tent Host is responsible for the Presenter Tent, located just east of the stage. This person should act as your “front-of-house” host and do the following:

  • Set up the Presenter Tent according to your plan for interacting with the public.
  • Keep the Presenter Tent tidy throughout the day. At the end of the day, ensure that garbage is disposed of in the garbage barrels in the park and recyclables are recycled.
  • Remove or install tent sidewalls as needed. The Presenter Tent has eight-foot (8’) sidewalls with removable walls to block wind or rain. The tent walls are stored in the Green Room Tent or under a table in the Presenter Host Tent when they are not in use. Please install tent walls at the end of the day if you’ve removed them.
  • At the end of the day, help stack tables and chairs in both the Presenter Tent and the Greenroom Tent. If additional tables and chairs were rented from another rental company, communicate with Jillian, the Dan Patch Park manager, for further instructions.

Talent Wrangler

The Talent Wrangler helps your program run smoothly and on time and should:

  • Stay in close communication with the on-site stage manager throughout the day.
  • Organize performers in advance of their time slot on stage.
  • Match each performer or presenter with their stage requirements.
  • Keep the show running on time by anticipating the needs of each performer in advance of their time slot on stage.

Stage Emcee

The emcee is the person who will drive your message from the stage. We strongly recommend someone with energy and experience to fulfill this critical role. The Stage Emcee should:

  • Introduce your acts, guest speakers and activities. Tie the action to the message.
  • Welcome the crowd. Keep them engaged and informed of what is happening on stage and in the park throughout the day.
  • Communicate with your Talent Wrangler to stay informed of performer status and possible program changes.
  • Work with the Dan Patch Park crew throughout the day.

Waste, Recycling & Compost Lead

The Waste, Recycling & Compost Lead is responsible for keeping the park tidy and should:

  • Ensure that any waste created by your event is disposed of in the white garbage barrels and recycling containers provided throughout the park.
  • Notify the Dan Patch Park manager if garbage or recycling bins are overflowing.
  • Dispose all cardboard boxes at the Recycling Center behind Sweet Martha’s Cookie Jar, west of the Grandstand.
  • Coordinate composting needs with Jillian by Aug. 7.

Secondary Partners and Exhibitors

Secondary Partners

You are welcome to bring in sponsors to help offset costs. The State Fair refers to your sponsors as “secondary partners” to differentiate them from official State Fair sponsors. Your secondary partners may be nonprofit organizations, civic groups, businesses and corporations whose partnership supports the theme of the day. Secondary partners’ participation is subject to State Fair approval. Please also see the requirements below regarding banners & signs.

Exhibitors

Your “exhibitors” will provide the content and activities for your day. Nonprofit organizations, civic groups, businesses and corporations may set up under the Exhibitor Tents. Placement on banners and signage is optional.

Requirements

  • Submit your prospective secondary partners & exhibitors in advance for review and approval prior to being solicited. Use the “Secondary Partners & Exhibitors” section on the Google Planning Sheet.
  • Specify the activities for each secondary partner & exhibitor. Such activities may not conflict with existing fair concessionaires’ activities.
  • No retail sales, order taking, deposit acceptance, solicitation, donations or contributions are allowed by secondary partners and exhibitors. This includes nonprofit and 501(c)(3) groups.
  • Alternative options for groups to develop connections with fair guests include having sign-ups for email lists, QR codes, distributing coupons and info sheets, and any such engagement that does not require a commitment.
  • Submit your secondary partners & exhibitors for approval before committing to their part
  • Any distribution of coupons, pre-packaged samples and giveaway items must be approved and conform to Minnesota State Fair guidelines.
  • All activities and entertainment must be family friendly.

Fees for Secondary Partners & Exhibitors

Secondary partners & exhibitors whose primary reason for being at the fair is commercial in nature will be assessed a fee.

  • $0: if activities are non-commercial, educational and fit the theme of the day
  • $500: if participation is primarily commercial in nature
  • $2,000: per product to sample food products (limited to 2-ounce, pre-packaged samples)
  • Invoices will be sent to the presenter immediately after the State Fair concludes.

Insurance Requirements

Purchasing Coverage

All presenters, secondary partners & exhibitors (referred to as Participants for insurance purposes) must each purchase coverage directly from the fair for a flat fee of $85 per organization to be covered under the State Fair’s general liability policy underwritten by Haas & Wilkerson Insurance. Certificates of Insurance will not be accepted as proof of insurance.

Complete by July 17

As a Dan Patch Park presenter, you are required to do the following:

  • Submit your INSURANCE LIST by listing your secondary partners & exhibitors with their contact person’s name, address and email.
  • The “Secondary Partners & Exhibitors” section in your Google Planning sheet has all categories required for insurance submission.
  • Or, you may create your own Excel spreadsheet using the same headings as the Google Planning Sheet: map number (as designated on your Park Layout); organization; contact name; address, city, state, zip; cell phone; email; and whether they have paid their insurance fee to you. Please send your spreadsheet by email to Nate.
  • You may pay the $85 fee for each of your participating organizations by either: A) Collecting a check from each organization and submitting them to the fair as a batch, or B) Submitting one check for the sum total. Checks should be made payable to the Minnesota State Fair, with the name of your day event in the memo line.
  • Mail or drop off your check(s) to Nate Dungan, c/o Minnesota State Fair, 1265 Snelling Ave. N., St. Paul, MN 55108. If you or your organizations would prefer to pay by credit card, please call Nate Dungan at 651-288-4478 with credit card information. A receipt will be emailed to you for your records.

Exceptions to the Insurance Requirement

Minnesota State and U.S. Federal employees who are acting within the scope of their employment are exempt from having to purchase coverage under the State Fair’s policy. Musicians and performers are automatically covered by the State Fair’s general liability policy. Workers’ compensation coverage is not provided by the State Fair because presenters, exhibitors, secondary partners and entertainers are not defined as State Fair employees.


Dan Patch Park Specs

Location & Size

Dan Patch Park is located south of the Grandstand on the west side of the Grandstand Ramp. It covers approximately 20,000 square feet. All event activities must take place within the area bordered by the sidewalks around the park. Use of the area under the Grandstand Ramp will be granted by special permission only. There is no smoking or vaping anywhere in Dan Patch Park.

Tables & Chairs

The fair will provide sufficient tables and chairs for each tent. If you need to rent tables and chairs beyond those provided, you can arrange on-grounds rentals with Fern Exposition Services (612-396-6401) or with another event vendor of your choice. Rentals are arranged by you and are not the responsibility of the Dan Patch Park staff or the Minnesota State Fair.

The following items are provided to park presenters at no charge, except where noted. See the DPP Layout Map in the Appendix of the Google Drive.

Stage (A)

The Dan Patch Park Stage is 24’ wide x 20’ deep x 3’ tall with a roof structure that covers the entire stage. Please indicate your stage needs during your planning process.

Provided stage equipment:

  • Two-person stage crew: Allied Productions sound engineer and IATSE union stage manager
  • 32-channel analog mixing console with EQ and CD player
  • Six (6) line array main speakers per side
  • Four (4) stage monitors
  • Eight (8) wireless microphones/headsets, plus a wired microphone assortment
  • Cables and adapters to fit your playback device for recorded music; It is recommended that you bring any adaptors you need to ensure compatibility
  • Three (3) music stands
  • Minnesota State Fair podium
  • Linoleum stage covering
  • Drum rug (4’ x 6’)
  • Bench seating for guests to enjoy stage presentations

Stage Banners & Sign Holders

    • A truss bar and pulley system on both sides of the stage can accommodate your banners, provided the banners meet specifications. Find banner guidelines within the Appendix folder on Google Drive.
    • Two (2) two-sided, plastic A-frame sign holders will display the stage schedule for your day. They are located next to the sound booth and by the stage.

Additional Production Equipment

Additional stage equipment such as video, audio, internet hookup, stage risers, etc., is the responsibility of the presenter and will be provided at the presenter’s sole expense. For more information about procuring additional equipment, communicate with Jillian Bell.

Office Trailer (B)

This space is meant for operations and should not be used as a dressing room. Half of this 8’ x 20’ trailer is available to key personnel who are managing your day, for visiting dignitaries, and to store valuables. Located backstage, Office B is also used by Dan Patch Park staff as their base of operations. Office B is lockable, air-conditioned and equipped with the basics for your convenience:

  • One (1) eight-foot table
  • Two (2) folding chairs
  • Bottled water for your immediate staff and event performers while supplies last
  • A full-length mirror
  • Standard electrical outlets
  • Wi-Fi: User ID and password are available on the day of your event

Reminders:

  • The trailer is not a place for entertainment and their fan clubs.
  • The Presenter or Green Room tents are available for your remaining staff, volunteers and large groups of performers.
  • No printer or copier is available.

Green Room Tent (C)

This 16’ x 16’ walled tent is located behind the stage for performers. Four (4) tables and eight (8) chairs are available in this space. Performing groups can store instruments, cases, garment bags, purses, backpacks and personal belongings. Designate a “Green Room Tent Host” to watch over these items as security is not provided by the Dan Patch Park stage crew, the Minnesota State Fair or the State Fair Police. Valuables are the responsibility of the performers.

  • The Green Room tent has sidewalls and can be used as a semiprivate dressing room.
  • Event presenters are responsible for providing water and other hospitality items to your workers, volunteers and exhibitors, should you choose to offer them.

Front of House (D)

This is the sound booth staffed by an Allied Productions sound engineer. They will connect with you in the morning regarding your programming, music choices and input list.

Presenter Tent (E)

This permanent high-peak 20’ x 20’ tent is often used as headquarters for the event organizer and staff. It is located east of the stage. Other uses include space for additional exhibitors or a second green room if needed. Six (6) 8’ tables, twelve (12) folding chairs and electricity are provided. Sidewalls can be added to the tent if communicated in advance.

Exhibitor Tents (F)

The State Fair provides two (2) large, high-peak tents for your Secondary Partners & Exhibitors, eliminating the need for additional pop-up tents. Twenty-four (24) 10’ x 10’ booth spaces are possible. The number of exhibitors must equal the number of spaces available.

  • Twenty-four (24) 8’ tables and 48 folding chairs are provided.
    • North Exhibitor Tent is 20’ x 70’ and accommodates up to 14 exhibitors.
    • South Exhibitor Tent is 20’ x 50’ and accommodates up to 10 exhibitors.
  • Electricity is supplied to the Exhibitor Tents. Exhibitors are responsible for bringing extension cords and power strips.
  • Two (2) permanent picnic tables are located in between the tents.
  • Exhibitors are responsible for bringing water and other supplies for their area.

Optional Ideas

  • Pipe and drape for the interior of the tents is not provided.
  • Exhibitors may bring signage to hang above each exhibit space.

Additional Pop-Up Tents, Flag Poles, Flag Signs, Inflatables

Pop-up tents are a hazard in unexpected weather events; hence the reason for the Exhibitor Tents mentioned above. Any additional pop-up tents must be approved and use weights to secure. Staking is not allowed. Similarly, flag poles and flag signs are allowed only if weights are used to secure them. The same applies to inflatables and balloon arches. Failure to comply will result in the removal of any unweighted items.

Additional Activities Outside of the Exhibitor Tents

Specialty exhibits, mobile displays and interactive games are allowed in the Activity Area of the park. Provide descriptions of these items in your Park Layout, due June 12, 2026.

Electricity 

The Layout Map (found in the Appendix on Google Drive) shows where power distribution boxes are set up in each tent. Exhibitors are responsible for bringing their own extension cords and power strips. For special power requirements, please discuss with Jillian Bell during your layout planning session.

Wi-Fi

Dan Patch Park has State Fair Free Wi-Fi and standard cell service. If hardline access is needed, requests must be submitted in advance. Hard-wire DSL hookup is available for an additional fee (approximately $400), provided the request is received no later than Aug. 7. Requests received after this deadline may be subject to additional fees or may not be accommodated due to staff time.

Trash, Recycling and Composting

  • Designate volunteers to help keep the park looking its best! Pick up loose trash and recycling and put it in the several garbage and recycling containers located around the park. The State Fair sanitation team regularly empties these containers.
  • Designate volunteers to break down boxes and take them to the recycling container located behind Sweet Martha’s Cookie Jar, west of the Grandstand. State Fair sanitation does NOT remove cardboard boxes.
  • Compostable waste can be disposed of by making arrangements with Jillian Bell by Aug. 7 for compost bins to be delivered on-site.

Not Provided in Dan Patch Park

  • Private dressing rooms
  • Private restrooms (public restrooms are located to the north in the Grandstand and to the south across Judson Avenue)
  • Complimentary food, beverages, bottled water or alcohol unless provided by the presenter
  • Phone charging stations
  • Backline (Bands must bring their own drums, keyboards, amps and instruments.)
  • Stage security
  • Roadies (a stage crew of two is on-site)
  • Tarps, ponchos, umbrellas (see below)
  • Miscellaneous office supplies – bring what you need

Tarps, Ponchos, Umbrellas and Boxes

Remember that this event is rain or shine. Check the forecast and be prepared. Here are a few helpful hints:

  • In the event of rain, bring your exhibit tables to the center of the tent. This allows fair guests some shelter while enjoying your exhibit.
  • Supply your own tarps. If you have boxes on the ground, you may want to lay a tarp down during set-up so your boxes will stay dry.
  • Instead of cardboard boxes, use plastic bins with lids to keep all event items dry. They also stack easily for load-in and load-out.

Stage Performances & Demonstrations

This section will help you prepare and manage a smooth and timely lineup of stage programming. Good stage programming is essential to creating a successful day in Dan Patch Park. As part of this, having a strong emcee will help to draw fair guests and drive your message. We encourage you to share the information below with your performing groups so that they are aware of your expectations and can support your goals.

The Performer “Advance”

The process of coordinating the logistics and stage needs of a performance group is called the “advance.” It is your job to confirm the load-in, stage set-up and load-out with your band leaders and performance groups. A Stage Plot and Input List is a map for each band showing the placement of instruments on the stage, along with a list of all microphones and direct boxes needed for their show. The Run of Show is the order of all performances on your day.

  • June 10: Run of Show is due. Enter this information in the “Run of Show” tab on your Google Planning Sheet.
  • By Aug. 7: Stage Plot and Input Lists are due in the “Stage Plot” folder in Google Drive.
  • Blank Stage Plots are provided to fill out. Items such as stools, tables, instrument and mic placement are all important to map out.

Stage Schedule and Recommendations

The State Fair prides itself on timeliness. Our Dan Patch Park team appreciates your help in staying on schedule by following these suggestions.

  • Be clear with your performers about adhering to start and stop times.
  • We recommend an emcee to keep the crowds engaged during changeovers. Discuss this with the Dan Patch Park team so that they can plan accordingly.
  • We recommend three (3) Programming Blocks with a 15-20-minute break for changeover in between to reset the stage if needed.
  • Short changeovers in between each act reset the stage for the next act. Factor in this time and stick to the pre-determined schedule.
  • It works well to have quieter acts earlier in the day and louder acts later.
  • Complete initial set-up and sound check by 9 a.m. Programming typically begins at 9:15 a.m. but can start as early as 8:15 a.m.
  • Performers must check in backstage with your Talent Wrangler a minimum of 30 minutes prior to their scheduled performance time.
  • After June 10, schedule updates made to your Google Planning Sheet cannot be included in printed daily schedules distributed at the fairgrounds but will be made to the website and app.
  • Two days before your event, Jillian will call you to discuss any last-minute changes.
  • On the morning of your event, bring your two (2) schedule posters (24” wide x 36” tall) and Stage Banners to the stage for the stage crew to install.

Performer Early-Morning Load-in

Utilizing an Early Morning Load-In will benefit you in the following ways:

  • Groups may use a vehicle to load in heavier gear, such as drums and big amps.
  • Early-morning arrival secures better parking chances within the West Blue Lot.
  • Performers can review their stage plot with the stage crew to sort out technical issues, thereby saving time during changeovers.
  • The groups can relax knowing they are ready to go.
  • All vehicles must be off the fairgrounds by 8 a.m.
  • After 8 a.m., all equipment must be toted or wheeled to the park.
  • Make a Transportation Request in advance to help load out heavy equipment. See “Load-out” instructions below.

Equipment

See “Dan Patch Park Specs” for more information about what audio and stage equipment is provided. A Green Room tent is available backstage for storage. Provided microphones (wireless and handheld), mic stands, cables and direct boxes are set up during breaks in between group performances. “The Advance” information is how Dan Patch Park best supports programming on your day. Last-minute requests may not be able to be accommodated.

Sound Guidelines in Dan Patch Park

  • Shared Space and Stage Volume: Dan Patch Park is a shared space with several neighbors. To the west, KSTP-TV has a stage with continuous entertainment and broadcasts. The fair and KSTP have agreed that the Dan Patch Park stage must observe a volume limit of approximately 92 DB AT FRONT OF HOUSE, using OSHA averaging based on A-weighted slow response. As a courtesy, we will provide excellent stage monitors for your use. This will allow everyone to keep a low stage volume and give the crowd a high-fidelity audio experience.
  • Complementing Our Neighbors: With the proximity of KSTP-TV’s stage, schedules are coordinated so that we complement each other. The Dan Patch Park team may request tweaks to your programming in order to coordinate with KSTP-TV’s live broadcast schedule. This might entail something as simple as a shift in your show time from 9 a.m. to 9:15 a.m., noon to 12:15 p.m., and 3 p.m. to 3:15 p.m., for example. It is extremely important that we receive your stage schedule by the deadline of Aug. 7, so that we can work with you in advance to adjust timing if needed.

Performer Load-in and Parking

For load-in, performers and demonstrators have three options:

  • Early-morning Caravan: This is recommended for heavier equipment such as drums, amps and keyboards. The vehicle can then park in the West Blue Lot. Only groups whose vehicle is parked in the West Blue Lot will receive assistance from the fair’s transportation department in loading out heavy equipment.
  • Public lot or neighborhood street: This is recommended to wheel or tote equipment to and from the stage with a cart or dolly. Parking is subject to availability.
  • Get dropped off at Gate 9 – Loop Gate: Gate 9 – Loop Gate (on Como Avenue) is the closest gate to the park. Artists may wheel or tote their equipment to the park.

Load-out

  • Think “less is more.” Performers carry or wheel their equipment out to their vehicle on foot. Groups often bring a cart or dolly for this. In general, most bands find ways to scale down their instrumentation, for both weight and for stage volume’s sake.
  • Groups with a large amount of heavy equipment AND whose vehicle is parked in the West Blue Lot may receive on-grounds van assistance from the State Fair transportation department, provided requests are made in advance.
  • Requests for load-out transportation assistance should be made by you, the presenter, in advance by Aug. 7. Although not guaranteed, all efforts will be made to accommodate. Find the “Transportation Request” section after each performance block in the “Run of Show” tab within your Google Planning Sheet.
  • Only one person can accompany equipment transportation due to space in the vehicle.
  • Approval of last-minute transportation requests is at the discretion of State Fair management. Bands or performers who do not park in the West Blue Lot may not be able to be accommodated.

Artist Merchandise Sales

Retail sales are not permitted in Dan Patch Park, with the exception of pre-approved artist merchandise, such as CDs, books and band T-shirts. Performing and exhibiting artists who wish to sell must register in advance at the entertainment office in Libby Conference Center, pay a flat fee of $20, and complete a Certificate of Compliance Form ST19. It’s a great idea to discuss during your “advance.” The seller is required to have a Minnesota Sales Tax ID number. The ST19 form is located in the “Appendix Folder” on Google Drive. Tipping

Tip jars and QR code prompts for tips are not allowed on any table, service counter or bar. Performers may not “busk” for tips.

Inclement Weather

Dan Patch Park has a robust plan in place when inclement weather is on the horizon. See “Inclement Weather Plan” for full operational details.


Admission Tickets

An admission ticket is required for anyone entering the fairgrounds at any time – including employees, volunteers, delivery personnel, entertainers, presenters and exhibitors – no exceptions. Those without a ticket must pay the full admission price. There is no guest list or will-call window.

Presenting partners may be given a limited number of admission tickets to distribute to their staff, volunteers, stage performers, secondary partners & exhibitors. Presenters must request these tickets by Aug. 7 by completing the “Getting Here” section within your Google Planning Sheet or emailing Nate. It is the responsibility of the presenting partner to distribute these tickets before the day of the event. You may choose to hand out tickets at the Caravan lineup.

Through Aug. 26, additional tickets may be purchased through the State Fair Ticket Office at the pre-fair discounted price of $17. During the fair, admission tickets are $20.

Tickets

All who enter the fairgrounds, including performers, must present a ticket of admission. No exceptions. Dan Patch Park presenters are responsible for making sure that each performer and exhibitor has a ticket. If performers exit the fair and plan to return, they should be sure to get a HANDSTAMP at the exit.

Handstamp

If you exit the fair and plan to return, be sure to get a HANDSTAMP at the exit. Without a handstamp, you will have to pay the full gate admission price to re-enter.


Parking & Getting to the Fair

Presenters may request Public Parking Lot (PPL) credentials and hangtags by completing the “Getting Here” section within your Google Planning Sheet. You may choose to hand out PPLs and hangtags at the Caravan lineup.

PPL

This credential allows vehicles to park in State Fair public parking lots on a space-available basis at no charge. Due to limited space, carpooling is mandatory.
The parking credential can be used for:

  • Vehicles carrying workers for the early-morning load-in, arriving 6-8 a.m.
  • Vehicles carrying exhibit supplies, equipment and musical instruments
  • Those arriving in the Caravan will be directed to park in the West Blue Lot after load-in.

Public lots often fill by 8:30 or 9 a.m. Therefore, parking credentials are best used for those arriving first thing in the morning. A PPL does not guarantee a parking spot. The regular cost to park in a public State Fair lot is $25.

When using a PPL, follow the instructions on the back of the credential. AFFIX the PPL sticker to the lower left windshield, and all drivers must have their vehicle’s LICENSE PLATE NUMBER written on the credential.

Hangtag (Transitway)

This hangtag allows access to the Transitway. It is required for all vehicles in the early morning Caravan. Display on your rearview mirror.

Arriving Later in the Day

The Transitway is for early morning load-in and may not be used after 8 a.m.

After 8 a.m., there are four ways to get to the State Fair:

  1. Use the free State Fair Park & Ride service
  2. Arrange to be dropped off at Gate 9 – Loop Gate on Como Avenue
  3. Park on a neighborhood street
  4. Find parking in a public State Fair lot (lots often fill by 8:30 or 9 a.m.; cost is $25)

Streets around the fairgrounds are always congested. Patience and planning are a must. Allow at least ONE HOUR (60 MINUTES) extra time for traffic jams and security checks. More parking information is available at https://www.mnstatefair.org/get-here/


On-site Operations for Your Day

This section maps out our procedures and expectations.

General Timeline

The following are important target times during the day:

  • 5:30 a.m.: On-site Managers, Set-up Crew and Traffic Directors arrive at Dan Patch Park; if these volunteers are first meeting at the Caravan rendezvous point, they should do so early enough so that they can depart the rendezvous point and arrive at Dan Patch Park at 5:30 a.m.
  • 5:45 a.m.: Suggested Caravan rendezvous at Wellington Lot
  • 6 a.m.: Caravan starts; load-in begins; Gates 5, 7, 9, 16 and 18 are open to workers and volunteers
  • 6:45 a.m.: All cars are through the gates
  • 7 a.m.: All fair gates open to the public
  • 8 a.m.: All vehicles must be removed from fairgrounds
  • 9 a.m.: Sound check complete; exhibits open; stage programming begins, running for 8 hours
  • 5 p.m.: Load-out begins
  • 5:30 p.m.: Stage programming must be done by this time

 Caravan Load-in

The first people on-site at Dan Patch Park are On-site Managers, Traffic Directors and Set-up Crew arriving around 5:30 a.m. They support the arrival of exhibitors.

The Caravan arrives as a group at about 6 a.m. Carpooling is mandatory. Coordinate load-in using a “back-to-front” method, having exhibitors who will be located in the North Exhibitor Tent first and those in the South Exhibitor Tent last.

  • Rendezvous point just south of fairgrounds:
    • Set a time to meet at the Wellington Lot, 1625 Energy Park Dr., St. Paul, MN 55108.
    • Designate someone to hand out tickets, hangtags, Public Parking Lot (PPL) parking credentials and maps to all drivers. For maps, see the Appendix folder on Google Drive.
  • Line up groups: Have tickets ready; affix PPLs to lower left windshield with license plate and other info written in; hang hangtags on rearview mirror; and turn on emergency flashers.
  • Transitway entrance to the fairgrounds:
    • The Caravan must use the TRANSITWAY to access the fairgrounds. This restricted roadway is unavailable to the general public and only accessible with proper vehicle credentials (hangtag). The TRANSITWAY ensures easy access to Gate 18, where you will present your admission tickets.
    • DPP Driving Map route: Energy Park Dr. → Raymond Ave. → Como Ave. → Transitway → Gate 18
  • Pro-Tip!
    • If you have a big group with many cars, break it into smaller groups of 10-15 cars each.
    • Space your groups 15 minutes apart.
    • Have the LEAD driver and FOLLOWING driver in each group stay in constant communication via their cell phones set to speaker to keep from getting separated.
    • Group 1 should include the On-Site Managers, Set-up Crew and Traffic Directors; this group leaves before the main Caravan so that it arrives at Dan Patch Park at 5:30 a.m.
    • Group 2 is the start of the main Caravan and begins leaving at 6 a.m.; this group includes exhibitors in the North Exhibitor Tent.
    • Group 3 includes exhibitors in the South Exhibitor Tent, and so on.
  • At Gate 18: Each driver will present the admission tickets for the passengers in their vehicle. Proceed through Gate 18, then right on Underwood Street, right on Dan Patch Avenue, and right on Carnes Avenue to Dan Patch Park.
  • At Dan Patch Park – IMPORTANT:
    Traffic Director(s) will keep vehicles moving around the corner to the west side of the park on Chambers Street, stopping the caravan at the northwest corner of KSTP.
  • Drop & Go Park: Traffic Director(s) remind drivers to drop their supplies and equipment at their assigned locations, then remove their vehicle to park, and return on foot to finish setting up.
  • Exit Gate 15 & Park in West Blue Lot: Once unloading is done, vehicles drive to their left. Follow West Dan Patch Avenue to depart via Gate 15. Drivers must get a HANDSTAMP for re-entry. Park in WEST BLUE LOT with your PPL credential, and walk back into the fair via GATE 16, using their HANDSTAMP to re-enter without charge. NOTE: Gate 15 on West Dan Patch Avenue is not shown on public fair maps because it is primarily a service gate.
  • Security Check: There are security measures at all gates. It is possible that bag and vehicle searches may be performed, please allow extra time. Remember to be patient with our police and security professionals. There will be a plan to facilitate the efficient screening of the early morning Caravan before entering Gate 18.

Non-Caravan Load-in

If you are working the early morning load-in, but are NOT coming in a Caravan, please note the following:

  • Carpooling is required, as space and parking credentials are limited.
  • If you plan to access the Transitway and park in a State Fair public lot, your vehicle must display a HANGTAG and a PPL.
  • After you unload, park your vehicle in the West Blue Lot, and return on foot to finish setting up.
  • Get a HANDSTAMP when you exit so you can re-enter the fair without charge.
  • Vehicles not using the Transitway only need a PPL to park in a public parking lot; no hangtag is needed. There is no shuttle or golf cart service available for load-in.
  • If you are walking through a gate, you need to carry or wheel your equipment to the park.
  • The closest gate to Dan Patch Park is Gate 9 – Loop Gate on Como Avenue. Gates 5, 7, 9, 16 and 18 are open by 6 a.m. for staff and volunteers.
  • Public parking lots open at 6 a.m. – are subject to availability and fill quickly.
  • All gates open to the public at 7 a.m.
  • Everyone needs an admission ticket to enter the fair.

Be Set Up By 9 a.m.

  • Set-up may begin as early as 6 a.m. and must be completed by 9 a.m.
  • Communicate with Jillian what time you plan to arrive to Dan Patch Park; she will meet you there.
  • Only bring what you need.

When You Arrive On-site, Deliver to Jillian:

  • Stage Banners: Our stage crew will hang them for you.
  • Your two (2) Stage Schedule Signs
  • Stage Schedule Printouts: Three (3) copies on 8½” x 11” paper to be posted backstage and in the sound booth. Alert Jillian to any last-minute changes, as we’re not always able to track any late revisions to your Google Planning Sheet.
  • Overall Event Timeline: Three (3) copies on 8½” x 11” paper to be posted backstage and in the sound booth. Alert Jillian to any last-minute changes.
  • Recorded Music: Song files uploaded in advance to the Google Drive are preferred. The sound engineer can then play them from front of house. Day-of event content must be played back from your device or from your DJ’s device. Adaptor cables will be provided but are not guaranteed. Please coordinate any music with our sound engineer in the sound booth. Acceptable sound file formats are .mp3, .mp4, .wav

Getting to the Fair After 8 a.m.

Anyone planning to arrive later in the day (after 8 a.m.) must enter the fairgrounds on foot. You will need to carry or wheel your equipment to the park using your own dollies or carts; there is no shuttle or golf cart service available for load-in.

There are four options for getting to the fair:

  • If you drive to the fairgrounds, please note that most State Fair public lots and neighborhood streets are full after 9 a.m. A PPL does not guarantee a space in a fairgrounds lot. Without a PPL, parking in a State Fair lot will cost $25.
  • Park & Ride, Express Bus and regular Metro Transit routes are available bus options. To calculate your travel time, you may take the amount of time it takes for you to normally get to the State Fair from your point of origin and at least TRIPLE it to ensure that you will arrive at Dan Patch Park with time to spare.   • Get dropped off at Gate 9 – Loop Gate on Como Avenue, which is the closest admission gate to Dan Patch Park, and wheel or carry your equipment to the park.
  • Use a taxi or rideshare such as Uber or Lyft. There are two locations for drop off and pick up – on the north and south ends of the fairgrounds. See the State Fair website: https://www.mnstatefair.org/get-here/taxi-and-rideshare/

Load-out Begins at 5 p.m.

  • After the event, items must be wheeled to vehicles via your own pushcarts or dollies; the fair does not provide these.
  • At 7 p.m., vehicles that were on display can be removed from Dan Patch Park. At this time, exit the fairgrounds through Gate 7 on Como Avenue. DO NOT attempt to exit west through Gate 15.
  • Due to the crowds, have volunteers walk in front and beside the vehicle to clear the crowd; the vehicle must be driven very slowly (1 mph) with flashers on, and do not honk your horn.
  • At 11 p.m., cargo vehicles are permitted on the fairgrounds to assist with load out of larger items.

Tear-down Checklist

After a long day at the fair, please follow this checklist to clean up before you go!

  • Return tables and chairs to their appropriate locations.
  • Collapse and stack them under Exhibitor Tents, Green Room and Presenter Tents.
  • Return any sidewalls to the Presenter and Green Room tents if they were removed.
  • Pick up any personal items left backstage.
  • Retrieve stage banners from stage, or communicate a post-event banner pick-up plan to Jillian.
  • Retrieve or dispose of stage schedule signage from the two (2) A-Frame locations.
  • Dispose of all cardboard. A designated recycle center is located behind Sweet Martha’s Cookie Jar near the Grandstand. It is your responsibility to remove cardboard. The State Fair sanitation department does not remove boxes left by the waste bins.
  • Clean up garbage and plastic recycling.
  • Report any Lost and Found Items to Dan Patch Park staff.
  • Double-check the Presenter Tent, Office Trailer, Green Room Tent and Exhibitor Tents for any personal belongings and event supplies.

Banners & Signs

Promotion and Graphics

All banners & signs must be approved in advance by the State Fair. See “Graphic Guidelines” in the Appendix folder on Google Drive for more information.

Any and all Minnesota State Fair and related branding or logo usage MUST be approved in advance with written consent from the Minnesota State Fair. Bold, clear, readable banners & signs are the most effective ways to build awareness of your theme and the day’s programming. The presenter is responsible for the expense of producing banners & signs.

  • All banners & signs in the park must be submitted for review and approval by the State Fair before production, no later than July 17.
  • All signage, banners and posters must be professionally made and neat in appearance.
  • Placement of banners or signage on light poles, trees, buildings and the Grandstand Ramp is not allowed.

Stage Banner Design & Construction

Stage banners are the most effective form of signage in the park. These should be vertical rectangular panels 6’ wide x 16’ tall hanging from both sides of the stage. The stage is equipped with a truss bar and pulley system for this purpose. The stage crew will hang your banners as soon as you arrive on the morning of your day.

  • At least 50% of your design must feature the event’s theme and your organization as the presenting partner. No more than 50% of the design may feature other logos, such as those of your secondary partners.
  • Company logos and advertising slogans displayed by themselves are not allowed.
  • Must be made of “blow-through” polyester mesh, not less than 80/20, pictured. Blow-through mesh allows the weather, wind and sound to pass through without the banner acting like a sail.
  • Banners should follow construction and dimensions as outlined in the “Banners Guidelines” document in the Appendix folder of Google Drive.
  • Submit your stage banner design for approval to Nate Dungan by July 17.

Stage Schedule Signs

  • Print your stage schedule on a poster board 24” wide x 36” tall. Make two (2) copies.
  • The fair will provide a two-sided A-frame sign, located next to the sound booth and next to the stage. Your stage schedule posters will be displayed for fair guests to follow. See example.
  • The fair’s preferred vendor for professional graphics is CE Print + Promo.
  • Bring three (3) printed copies of your stage schedule on 8½” x 11” paper on the day of your event. These copies will be posted backstage for the stage crew and performers to follow.

Prize Drawings, Giveaways, Contests & Swag Bags

Any item used by you or your secondary partners and exhibitors as a prize or promotional giveaway (e.g., bags, pens, temporary tattoos and other trinkets, etc.) must be approved in advance by the State Fair. ADHESIVE STICKERS ARE NOT ALLOWED AS GIVEAWAY ITEMS because they end up on benches and lamp posts. Please submit your “Prize Drawings & Contests Form” in your shared Google Drive Folder by July 17. Giveaways should be entered on the Google sheet as part of the secondary partners & exhibitors and activities information.

Prize Drawings

The following rules apply to all register-to-win prize drawings held at the fair:

  • Drawings must be limited to the day of the event, unless otherwise pre-approved by the State Fair.
  • No prize may be awarded or offered other than that which is advertised at the sign-up location.
  • No further drawing or purchase may be required for a person to be eligible for the prize drawing and to obtain the prize(s) to be awarded.
  • All prize drawing and registration slips must clearly state the name of the presenting event partner and organization offering the prize, including their website or street address.
  • A sample of the prize(s) to be awarded or a reasonable facsimile, along with the contest rules, must be displayed in plain view at the point of drawing registration.
  • If persons signing up for a prize drawing are subject to sales appointments, calls or email contact because they signed up for a prize drawing, this must be clearly indicated in writing at the registration point.
  • All fair guests over age 18 must be able to sign up for the drawing without requiring access to a smartphone, social media account or other technology. (For example, paper drawing slips are a good way to ensure everyone can enter even if they don’t have a smartphone to scan a QR code.)

  • A sample of the registration slip and the contest rules that will be displayed at the registration If registration and rules will be done by QR code, please include a sample of the web page, too, as a saved pdf and saved to your shared Google folder.

  • Submit your list of prize drawing winner(s), including names and addresses. The fair requires this information as part of its records and to respond to fair guests asking if they won.

Raffles

No raffles of any kind are allowed at the Minnesota State Fair.

Contests

Contests of any kind must be approved in advance by the State Fair.

Giveaways and Handouts

All giveaways and handouts must be branded and must be approved in advance. There are many fair vendors who pay a license fee for the privilege of selling their products at the fair, so only items of nominal value (such as bags, pens, temporary tattoos, magnets, small trinkets, etc.) are permitted as giveaway items. ADHESIVE STICKERS ARE NOT ALLOWED AS GIVEAWAYS. Giveaways should be entered on the Google sheet as part of the secondary partners & exhibitors and activities information. Sampling

Handing out food, bottled water and candy in Dan Patch Park is prohibited.

Exceptions to this rule may be considered for approval with the following provisions:

  • Pre-packaged sample is no more than 2 ounces in size.
  • One (1) sample per guest may be distributed from your designated booth space by personnel employed by the presenting event partner.
  • A permit from the Minnesota Department of Health or Minnesota Department of Agriculture will be required for pre-packaged food and/or beverage sampling.
  • Vendors at the Minnesota State Fair are charged a licensing fee to sell specific items. Due to these license requirements, the fair does not allow free distribution of the same or similar items.
  • Event partners who are approved to distribute samples in the park will be charged a sampling fee of $2,000 per product.
  • A request to sample products must be submitted via email to Nate Dungan by July 17.

Swag Bags

Promotional giveaway bags must follow these parameters:

  • At least 50% of the bag’s exterior art must feature the presenter (your organization) or the event’s theme.
  • Up to 50% may be secondary partner logos or other supporting organizations.
  • The bag may feature the presenter/event theme on one side and secondary partners/supporting organizations on the other side; OR
  • Each side of the bag may be divided 50/50 between the presenting partner and its supporting organization(s).
  • All bag designs must be approved by the State Fair prior to production.

Inclement Weather Plan

The safety and security of all is the first priority of the Minnesota State Fair. Dan Patch Park activities go on rain or shine. In the event that inclement weather may be approaching the fairgrounds, the following four-step plan will be followed.

Severe Weather Readiness Levels

Level 1: ALERT

The Dan Patch Park stage crew receives daily notifications sent to all stage crews via Allied Radio Net, which will notify the Dan Patch Park manager that a weather front is approaching and its estimated time of arrival.

The Dan Patch Park manager will discuss preparations with organizers, exhibitors and volunteers and do the following:

  • Monitor weather apps; track updates from Dan Patch Park stage crew and State Fair urgent communication channels; watch the sky and the on-site situation
  • Discuss and decide when to move to “HOLD” level and stop performances and activities, what the emcee will say to the crowd, and when to cover up supplies and exhibits.
  • Discuss and decide where to seek shelter. The nearest Severe Weather Shelter is the Grandstand, located north of the park
  • Develop a communication plan to notify performers, exhibitors, volunteers and other participants.

Level 2: HOLD

Weather is here. DO NOT wait for notification to act.

  • Cover up and protect tent exhibitors’ assets and park activities.
  • Stop stage performances and cover stage equipment.
  • Emcee tells the audience, “We are holding until the weather clears.”

Level 3: SHUT DOWN

Stage and park activities “SHUT DOWN” when the following conditions apply:

    • Lightning hold: Radius is 12 miles within last 20 minutes
    • Pouring rain
    • Gusting winds 25+ mph
  • Play severe weather recording on stage sound system.
  • Seek shelter in the Grandstand.
  • Wait for the all-clear decision and announcement.

Level 4: ALL CLEAR

  • Resume performances and activities in the park.
  • This is determined by the Dan Patch Park manager in consultation with the Dan Patch Park stage crew and event organizers.

Emergency Communication at the State Fair

Maintaining communication during an emergency is critical.

Emergencies – Police, Fire & Medical

In case of emergency, call 911. Your call will be routed directly to State Fair dispatchers. The caller should say what kind of emergency it is and the location. For example, “I’m calling from the State Fairgrounds. I have a [security, safety, fire, medical, injury] emergency. My location is Dan Patch Park, just west of the Grandstand Ramp.”

Urgent Communication Text Message Tiers

When urgent messages are needed, primarily focused on severe weather and public safety, every effort will be made to communicate information using a tiered communication system as follows:

  • Tier 1: Text messages will be sent to Minnesota State Fair full-time staff from the Emergency Operations Center.
  • Tier 2: Text messages will be sent via a State Fair-staffed text service to superintendents, managers, vendors and other area coordinators, including the Dan Patch Park manager.
  • Superintendents, managers, vendors and area coordinators will then communicate messages to their staff and volunteers through their own system and process.
  • In rare instances (such as imminent severe weather and other urgent public safety situations), a fairgrounds-wide emergency text alert system will be used to communicate to all cell phones within the fairgrounds area.

Emergency Response Plan Web App

The STATE FAIR EMERGENCY RESPONSE PLAN WEB APP contains important information so that State Fair staff, exhibitors, concessionaires and others are better prepared to react responsibly in the event of an emergency. Topics include phone numbers to call; emergency map; lost persons; crimes; severe weather; Grandstand procedures; heat emergency; and more.

Dan Patch Park organizers, staff, exhibitors and other key personnel can download the MSF Plan APP, which will be updated for the 2026 State Fair on Aug. 1, 2026:

To Install the App:

  • Open a browser on your smartphone, tablet or computer, or use this QR code. (Please note that typically Safari is best for an iPhone and Chrome for an Android.)
  • Go to: bit.ly/msf-emergplan
  • Click on the “share” icon; click “Add to Home Screen.” On a desktop, you may want to add the app to your Bookmark Toolbar or your Favorites.
  • Please share this link with all appropriate staff and volunteers.

To Use the App:

  • Once the app is installed on a device, you will not need connectivity (Wi-Fi, data, etc.) to use the app.
  • We do not anticipate making content updates during the fair.

If you downloaded the app for 2025, you can update to 2026 by simply closing your browser and reopening the app when you have Wi-Fi or are connected to the internet. (Note: It may take reopening the browser and app a few times for changes to appear.) To check to make sure you have the 2026 version, click on the “Introduction” tab, scroll to the end of the text, and check for “August 2026.” The app will be updated Aug. 1, 2026.

Advertising in the Park

Advertising or distributing information about anything other than products or services approved by the State Fair is prohibited. All Dan Patch Park day business must be conducted within the confines of Dan Patch Park.

Family & Baby Care

Family & Baby Care is located across from West End Market on Dan Patch Avenue. Hours of operation are 8 a.m. to 10 p.m. (8 p.m. Labor Day). The facility offers:

  • A nursing area and infant care facilities
  • An adult-sized changing table
  • A lost person meetup location

First Aid

Walk-in medical assistance is available at two First Aid locations.
For emergencies or ambulance or EMT transport, call 911.

  • First Aid West: next to the Police Station
    1834 Dan Patch Ave., 8 a.m. to 11:30 p.m. (10:30 p.m. Labor Day)
  • First Aid East: in the north end of the 4-H Building
    1424 Cosgrove St., 8 a.m. to 9 p.m. (8 p.m. Labor Day)

Information Booths

The nearest official State Fair information booth is located across the street from the KSTP-TV building to the west of the park. They can take items for Lost & Found as well as answer any and all fair-related questions.

Lost & Found

The Lost & Found office is located at 1842 Dan Patch Ave., across from West End Market.

  • Office Hours are from 8 a.m. to 11:30 p.m. (10 p.m. Labor Day).
  • For items lost in the park, check with the Dan Patch Park Manager (Jillian) and then with the Lost & Found (651-288-4555)
  • Items found in the park can be turned in to Jillian. She will check with the day’s presenters before the items are brought to the Lost & Found office.

Media

Media inquiries about your day go through the State Fair media relations team in the marketing department, who coordinates interviews.

As an event partner, you may speak on behalf of your organization regarding your event. You may not speak on behalf of the Minnesota State Fair. Any media inquiries that refer to the State Fair should be directed to the State Fair’s media relations hotline at 651-288-4321 or media@mnstatefair.org.

On the day of your event, if you receive a media request to interview you, your personnel or performers, please inform Jillian Bell. Appearances must be facilitated with the State Fair media team.

Phone Charging

Electricity is available in the park, however you must bring your own extension cord, power strip and charging cable. The Dan Patch Park team cannot be responsible for the safekeeping of any personal electronic devices while they are charging.

  • Tip: To optimize your battery usage while at the fair, turn off location services and Wi-Fi. The variety of Wi-Fi hot spots on the fairgrounds will cause your phone to constantly search for a new Wi-Fi hot spot and drain your battery.
  • Pro Tip: Bring a portable phone battery charger or power bank with you.

Restrooms

You will find restrooms: To the south, in DNR Park; to the north, in the lower level of the Grandstand; and to the west, near The Perfect Pickle. Bathrooms are noted on State Fair maps: https://www.mnstatefair.org/maps/

Smoking

Smoking is not permitted backstage or anywhere within Dan Patch Park. Designated smoking areas are established at convenient locations throughout the fairgrounds. Smoking (including the use of e-cigarettes and vape pens) is only permitted in these areas and are identified on State Fair maps ( https://www.mnstatefair.org/maps/ ). Each designated smoking area consists of a bench and receptacle to safely deposit spent cigarettes. Marijuana smoking is prohibited throughout the fairgrounds.

State Fair Graphics Use

The Minnesota State Fair name, logo and graphics are protected under U.S. trademark law. See the “Promotion and Graphics” section under “Banners & Signs” for more information.

Tipping

Tip jars and QR code prompts for tips are not allowed on any table, service counter or bar. Performers may not “busk” for tips.

Water and Sunscreen

Amenities such as water, sunscreen and bug spray are the responsibility of each volunteer and the event manager. Plan for full sun but know there are spots of shade in the park throughout the day. Bring a water bottle and refill it at public fountains and water bottle refill stations. These are noted on the State Fair map: https://www.mnstatefair.org/maps/  The closest water bottle filling fountains are located inside the Grandstand along the backwall, by the restrooms.
